What Information Should Appear on an Employee Payslip?

Employee Payslip

An employee payslip is a record that shows how gross pay becomes take-home pay. It lists what an employee earned, what was deducted and what landed in their account. Nigeria has no single statutory template that every employer must copy, so the content is your decision. That decision still has to match the Labour Act, the Pension Reform Act 2014 and the Nigeria Tax Act 2025, which took effect on 1 January 2026.

A payslip that leaves out PAYE, pension or the pay period invites questions from staff and trouble in an audit. This guide covers what a salary payslip should contain, how PAYE now appears on it and how to make a payslip in five steps.

What an Employee Payslip Must Do

A good employee payslip does three jobs. It proves what the employee was paid. It explains every naira that was deducted. It gives your business a clean record if a tax officer, lender or embassy asks for proof of income.

Salario has already listed the full set of fields in its guide to what a standard payslip should contain. Here is the short version, grouped by where each detail sits on the page.

Details to Include on a Salary Payslip

Employer and employee details. Show the company name, address and logo at the top. Add the employee’s full name, staff ID, job title and department. Use an internal staff ID, not a NIN, BVN or full account number.

Pay period and payment date. State the month covered and the date the salary was paid. Staff use this line to match the payslip to their bank alert.

Earnings. List basic salary, housing and transport allowances, and any overtime, bonus or arrears as separate lines. Then show gross pay as one clear total. Show reimbursements apart from salary, because they repay business costs and are not income.

Deductions. Label each one. These normally include PAYE, employee pension, and other deductions the employee has agreed to in writing. Add a total deductions line. Avoid a vague “other deductions” line, since staff will ask what it means.

Net pay. This is gross pay minus total deductions. Make it the most visible figure on the page, because it is the number the employee cares about most.

Employer contributions. Show the employer pension share of 10% on its own, marked as a contribution paid by the company. It must never reduce take-home pay.

A contact line. Add an HR or payroll email so an employee can report an error quickly.

How PAYE Appears on a Salary Payslip in 2026

Under the Nigeria Tax Act 2025, the first ₦800,000 of annual taxable income is taxed at 0%. The next ₦2.2 million is taxed at 15%. After that, the rates rise to 18%, 21% and 23%, and income above ₦50 million is taxed at 25%.

Your payslip does not need to print the whole table. It needs one line called PAYE, with the monthly figure, and your payroll record must hold the calculation behind it.

Three details trip up employers.

First, rent relief now replaces the old Consolidated Relief Allowance. It equals 20% of annual rent paid, capped at ₦500,000. The employee should give you a receipt, a lease or an approved rent declaration.

Second, pension, NHIS and similar deductions reduce taxable income only when the employee claims them in writing. Keep those forms on file.

Third, NHF is no longer automatic for private-sector staff. Deduct it only with the employee’s consent, and label it clearly.

Late or missing PAYE costs money. The penalty for failing to deduct is 40% of the amount not deducted, and failing to remit adds 10% plus interest. Check the dates in our guide to salary, tax and pension deadlines every Nigerian employer should know.

A Simple Employee Payslip Example

Take an employee on a gross monthly salary of ₦300,000. Basic pay is ₦180,000, housing is ₦72,000 and transport is ₦48,000.

Employee pension at 8% is ₦24,000 a month, or ₦288,000 a year. Taxable income is ₦3,600,000 minus ₦288,000, which gives ₦3,312,000. We assume no rent relief and no NHF here.

The tax is ₦0 on the first ₦800,000, then ₦330,000 on the next ₦2.2 million at 15%. The remaining ₦312,000 is taxed at 18%, which is ₦56,160. Annual PAYE is ₦386,160, or ₦32,180 a month.

Net pay is ₦300,000 minus ₦24,000 minus ₦32,180, which equals ₦243,820. That is the figure the employee should see in bold. This is an illustration, so confirm every salary, relief and deduction with your own payroll records first.

How to Make a Payslip in 5 Steps

Learning how to make a payslip is simple once your payroll data is ready.

  1. Confirm the numbers. Check gross pay, allowances and approved deductions against your payroll record.
  2. Enter employer and employee details. Add the logo, staff ID, job title, department and pay period.
  3. Add earnings and deductions. Enter each line separately, then check that gross pay minus deductions equals net pay.
  4. Review the PAYE and pension lines. Make sure they match your calculation sheet.
  5. Download and send. Save the file as a PDF and send it to the employee privately.

If you pay many people, do this from a spreadsheet instead. Our guide to generating bulk payslips for free in Nigeria shows how to upload a CSV and get a PDF for each employee.

Common Employee Payslip Mistakes

Most payslip errors come from rushed monthly processing, not bad intent. These are the ones to watch.

Net pay that does not reconcile is the biggest one. If gross pay minus deductions does not equal the net figure, staff lose trust fast. Another is mixing allowances and reimbursements into one line, which hides what is taxable. A third is changing a deduction without telling the employee. Every deduction needs a label and a written basis.

Late payslips cause trouble too. Issue the salary payslip on or before payday, and set the date in your payroll calendar so it never depends on memory. Finally, keep one template for the whole company. A payslip that changes layout every month looks careless and is harder to audit.

What to Leave Off an Employee Payslip

A payslip gets printed, forwarded and photographed. Keep sensitive details off it. That means full bank account numbers, NIN, BVN, tax ID and pension PIN. Mask what you must show, such as the last four digits of an account.

Also keep disciplinary notes and performance remarks out of it. A payslip is a pay record, not an HR file.

Keep every payslip and the data behind it for at least six years, as the Nigeria Tax Administration Act 2025 requires.
